Upload historical payroll data and ensure accuracy with custom earning codes in Console.
Review Custom Earning Codes
Before uploading history, review reports to ensure all custom earning, benefit, and deduction codes have been added to the system.
Navigate to: Console → Company Info → Company Setup → Section 3: Add Historical Payrolls → Download Template
Convert Historical Data into CSV Format
There are two options for formatting your data file. All should be saved as .csv.
Option 1 – Use Console’s Template, view steps below
- Open the generated template and enter your historical payroll data
- Do not change or delete columns or headers
- Best for beginners to avoid formatting issues
Option 2 – Use Your Own File
- Start from your own data file and shape it into a flat file format
- Use Console’s template as a reference for columns
- You’ll map columns during the upload process
- You may remove unused columns
- Likely the most time efficient method for intermediate-experienced users
💡 Tip: Validate + balance the totals (e.g., Regular hours and amounts) against your source documents to ensure accuracy.
Download a Payroll Template
The payroll template becomes available for download once all workplaces and benefits are configured. At this stage, the system generates a blank, account-specific template that includes all applicable tax and benefit columns based on the data provided.
- Login to Console
- Select “go to company setup”
- Scroll down to Step 3: Add Historical Payrolls
- Select “Download template”
Confirm Payees in Console
Ensure all payees in your file are present in Console, including:
- Active employees
- Inactive employees who were paid during the calendar year
⚠️ If any employee in your file is missing from the template, notify a Check Setup Project Manager immediately.
Upload the History File
Go to: Console → Company Info → Company Setup → Section 3: Add Historical Payrolls → Upload
Choose your upload path:
- Option 1 – Select “Upload completed template” if you used the Console-generated file
- Option 2 – Select “Upload raw file” if you created your own or used a reduced version
The upload will take only a few moments. You will find your file by clicking the down arrow click Process to continue.


Map Your File
You’ll be prompted to confirm whether the first row is your header — click Yes.

Mapping Columns: Console will attempt to map your column headers automatically.
- Verify each field mapping manually.
- If any mapping is incorrect, click the suggested code and choose the correct one from the dropdown.
- Click Confirm Mapping to move to the next column.
- Once complete, click Review.

It is a very common occurrence, especially when using a raw file, that Console will mis-map a column. This is easily remedied by clicking on the suggested code and select the correct one from the dropdown.

Resolve Employee Matching Issues
On the next screen, you may encounter employee name mismatches due to:
- Suffixes
- Extra spaces
- Slight variations in spelling
- Missing employees
To fix:
- If confident, select the correct employee from the dropdown in the pink-highlighted field.
- If unclear, contact your Check Project Manager for help.
Once all issues are resolved, click Continue.
