Access Walkthrough

  1. Log into your ADP WFN account.
  1. Go to Setup β†’ Tools β†’ Support β†’ Client Contact Change
  1. Click Add New Contact
  1. Select NO, to indicate you are not adding an employee.
  1. Enter the requested information:
    1. First Name: Payroll
    2. Last Name: Support
    3. Email Address: setup@checkhq.com
    4. Phone Number (if asked): 856-830-6462

If not going through Checks embedded setup process DO NOT use the setup@checkhq.com email. Use an email that you have access to.

  1. Scroll down to Access Settings
  1. Select No, let me choose the options manually to begin selecting settings.
    1. Select:
      1. Company Codes β€” Select all companies you'd like to give access to.
      2. Administrator Access β€” click Product User as a drop-down, or another similar option if available.
      3. Product Access β€” Select Yes for Workforce Now access.
      4. Contact Settings & Roles β€” Select Payroll and ensure that Secondary Contact is marked.
  1. Click Submit
  1. Confirm user profile created has access to People and Payroll Processing
    1. Go to Setup β†’ Security β†’ Access Permissions β†’ Manage People
    2. Search for the Payroll Support user and select their name
    3. Navigate to Payroll Processing Access and ensure the profile has View Access
    4. Navigate to People Access and ensure the profile has the Same Access as Payroll Processing

ADP WFN does NOT have a report for Workplaces or Earning Rates

  1. Navigate to Reports & Analytics β†’ Reports Dashboard
  1. Click on Employee Census
    1. May be under β€œTrending Now” or you can search in the search bar
  1. Who Appears on this Report- If multiple accounts under login, hit X, on any that should not be included in this report.
  1. What’s Displayed on this Report - No changes needed
  1. Appearance and Other Settings β†’ Click on pencil icon
    1. Update Tax ID and Date of Birth to Not Masked
    2. Leave all other settings as they are
    3. Save
    4. Run as Excel

Direct Deposit

  1. Navigate to Reports & Analytics β†’ Standard Reports β†’ Personal & Employment
  1. Search for Direct Deposit Information
    1. Who Appears on this Report- If multiple accounts under login, hit X, on any that should not be included in this report.
    2. What’s Displayed on this Report - No changes needed
    3. Appearance and Other Settings β†’ Click on pencil icon
      1. Group by Name
      2. Tax ID = Not Masked
      3. Bank Account Details = Not Masked
      4. Report information as of = Today
      5. Available Deduction Codes = Select all
      6. Save
    4. Run as Excel

Withholdings

  1. Navigate to Reports & Analytics β†’ Standard Reports β†’ Personal & Employment
  1. Search for Employee Profile
    1. Who Appears on this Report- If multiple accounts under login, hit X, on any that should not be included in this report.
    2. What’s Displayed on this Report β†’ Click on pencil icon
      1. Personal Information: Uncheck all except Personal Profile
      2. Employment Information: Uncheck All
      3. Pay Information: Uncheck all except Tax Withholdings
      4. Statutory Compliance: Uncheck All
      5. Talent Profile: Uncheck All
      6. Save
    3. Appearance and Other Settings β†’ Click on pencil icon
      1. Group by Name
      2. Tax ID = Not Masked
      3. Report information as of = Today
      4. Save
  1. Run as Excel

Deductions

  1. Navigate to Reports & Analytics β†’ Standard Reports β†’ All Standard Reports
  1. Search for Voluntary Deductions
    1. Who Appears on this Report- If multiple accounts under login, hit X, on any that should not be included in this report.
    2. What’s Displayed on this Report β†’ No changes needed
    3. Appearance and Other Settings β†’ Click on pencil icon
      1. Group by Name
      2. Available Deduction Codes β†’ Select All
      3. Save
    4. Run as Excel

Historical Payrolls

  1. Navigate to Reports & Analytics β†’ Pay Statement History β†’ Payroll History
    1. Who Appears on this Report- If multiple accounts under login, hit X, on any that should not be included in this report.
    2. What’s Displayed on this Report β†’ Click on pencil icon and Add the following:
      1. Period Beginning Date
      2. Period Ending Date
      3. Worked in State
      4. Worked in Department
      5. Federal Tax - Employer
      6. State Tax - Employer
      7. Local Tax - Employer
      8. Federal Taxable
      9. State Taxable
      10. Local Taxable
      11. Save
    3. Appearance and Other Settings β†’ Click on pencil icon
      1. Group by Name
      2. Request Period β†’ select the desired date range
        1. Q1 (1/1 - 3/31)
        2. Q2 (4/1 - 6/30)
        3. Q3 (7/1 - 9/30)
        4. Q4 (10/1 - 12/31)
      3. Save
      4. Run as Excel

Multi-State - Use the Worked in Department to determine the correct state for unemployment

Use the employee rates to split SUI/SDI manually before importing

Company Tax Information

  1. Navigate to Setup β†’ Payroll β†’ Tax Jurisdictions
    1. View the Tax ID for each tax line item.
    2. Click into the tax line item to view the full ID and Rate, if applicable.

Screenshots allow you to record critical Tax IDs, Rates, and more since this is not available via a downloadable report.

Tax Returns

  1. Navigate to Reports & Analytics β†’ Federal/State/Local Tax Documents - 940/941
    1. Federal Tab β†’ Check the boxes of appropriate Q/Year needed.
    2. State Tab β†’ Check the boxes of appropriate tax documents needed.
        • If starting in Q1, pull the prior quarter's return (Q3 or Q4) to confirm tax information.
        • If starting mid-year, pull every closed quarters return in the current year.

Obtaining closed quarter(s) tax filings is required and will allow you to tie out each quarter to ensure balancing with the transfer of historical data.

Tax documents serve dual purpose for setup:

  • Allows you to tie out closed quarters in the current year when importing the historical data.
  • Provides required information to complete the Tax Parameters.
