BambooHR: Extract and Required Data Guide

Guide users to extract, format, and import BambooHR data for successful setup.

BambooHR does NOT have a report to see full direct deposit information.

Bank Accounts can be added in two ways when migrating:

  • Onboarding Links (most efficient and timely)
  • Manual Entry (manually enter each employee or use import templates)

Employee Demographics

  1. The menu on the left, click Reports β†’ New Report
  1. Report Name: Employee Demographics
  1. Under Browse Fields add the following:
    1. Personal
      1. Status
      2. First Name
      3. Middle Name
      4. Last NAme
      5. Birth Date
      6. SSN
      7. Address 1
      8. Address 2
      9. City
      10. State
      11. Zip Code
      12. Work Email
      13. Home Email
    2. Job
      1. Effective Date
      2. Employment Status
      3. Employee Tax Type
      4. Pay Type
      5. Pay Rate
      6. Location
      7. Hire Date
      8. Workers’ Comp Classification (if applicable)
  1. Save
  1. Click on the 3 dots at the top right β†’ Export as Excel

Withholdings

  1. The menu on the left, click Reports
  1. In the top search bar, search Federal Withholdings
    1. Click on the 3 dots at the top right β†’ Export as Excel
  1. In the top search bar, search State Withholding & Unemployment Insurance
    1. Click on the 3 dots at the top right β†’ Export as Excel

Deductions

  1. The menu on the left, click Reports
  1. In the top search bar, search Payroll Deductions Summary
    1. Click on the 3 dots at the top right β†’ Export as Excel

Historical Payrolls

Closed Quarter

  1. The menu on the left, click Reports β†’ Payroll Reports
  1. Update Date Range based on time of year
    1. Enter date range needed
      1. Q1 (1/1 - 3/31)
      2. Q2 (4/1 - 6/30)
      3. Q3 (7/1 - 9/30)
  1. Select Complete Summary β†’ Download
  1. Select By Employee (columns) (No Demographics)
  1. Download Report

Open Quarter

  1. The menu on the left, click Reports β†’ Payroll Reports
  1. Run for each check date in the Open Quarter
  1. Select Complete Summary β†’ Download
  1. Select By Employee (columns) (No Demographics)
  1. Download Report

Tax Returns

  1. The menu on the left, click Reports β†’ Payroll Reports β†’ Tax Documents
  1. Select Company Documents
    1. Document Type: All
    2. Year: Select applicable year
      • If starting in Q1, provide the prior quarter's return (Q3 or Q4) to confirm tax information.
      • If starting mid-year, provide the return for every closed quarter in the current year.

Obtaining closed quarter(s) tax filings is required and will allow you to tie out each quarter in the current year to ensure balancing with the transfer of historical data.

Tax documents serve a dual purpose for setup:

  • Allows you to tie out closed quarters in the current year when importing the historical data.
  • Provides the required information to complete the Tax Parameters.
