Company onboarding via components

Streamline company onboarding with customizable links for efficient setup and information collection.

Overview

This article explains the areas of the Company Onboarding component, what is collected in this process, and how this information is surfaced to employers.

After a company has been created through Check's API, you will have the option to generate a Company Onboarding link to easily manage parts of the setup process or to collect updates to company information at any time. There are separate parts of Company Onboarding and you can use one aggregate link or individual links depending on the needs of the customer.

The necessary parts of this flow will be surfaced already for Embedded Setup and New Business workflows.

Links can be generated in console under the Company Info tab and provided to the employer directly.

Note: Partners have variation with how Onboarding is provided to your employers. This can be product supported or generated through Check's console. Consult with your company on best practices.

Company signatory

Each link that you generate will require that you either select an existing signatory or create a signatory by providing First Name, Middle Name, Last Name, Title, and Email. It is important that this information is accurate as this will be the information that appears on the company filing authorizations.

Below is a listed of approved signers as defined by the IRS:

  • Sole proprietorship: The individual who owns the business.
  • Corporation (including a limited liability company (LLC) treated as a corporation): The president, vice president, or other principal officer duly authorized to sign.
  • Partnership (including an LLC treated as a partnership) or unincorporated organization: A responsible and duly authorized partner, member, or officer having knowledge of its affairs.
  • Single-member LLC treated as a disregarded entity for federal income tax purposes: The owner of the LLC or a principal officer duly authorized to sign.

Component links

After creating the signatory, select “Generate Onboarding Link” and this will create a URL that you can copy and send to the signatory to complete. At this point, the signatory would follow the instructions and provide the requested information.

*All links are one-time use and expire in 24 hours.

Terms of service

ALL employers must acknowledge Check’s Terms of Service. The signatory can click on the link to view the terms of service (optional) and then check the box to acknowledge the terms of service.

Company details

To onboard a company, Check needs this information. The signatory will generally know this information without needing to collect documentation.

Payment setup

Employers have the option to link their company account with Plaid or provide raw bank account information. Plaid is the preferred method. If providing raw bank account information, will require the upload.ALL employers must provide payment information. This is built into the flow for ESe and new businesses.

Tax Setup

The tax setup area will prompt for information specific to the agencies listed. You will see Federal listed for every company. States will vary based off of the workplace and employee addresses in Check’s console.

For Embedded Setup companies, this information is not required during setup as Check will own tax setup.

Filing authorizations

ALL employers must sign off on their filing authorizations prior to running the first payroll. This is built into the flow for ESe and new businesses. These authorizations allow Check to make tax payments and file returns on behalf of the employer.   For Embedded Setup companies, direct the signatory to complete the filing authorizations once setup is complete. Payroll can not be approved until this step is finished.

Previous Provider Access Component (PPAC)

This component is only used for Embedded Setup companies. This flow provides instructions on how to add Check as a user to your current payroll provider (preferred) or allows you to attach reports. This must be done for every employer that will be set up by Check.

Other onboarding links

  • Early enrollment: Not currently in use - to be deprecated
  • Employee setup: Used to collect additional information on employee records
  • Integration partner: Used to setup integrations with SimplyInsured, Next, and/or Accrue

Onboarding status

Check will surface indicators to let you know if any actions needs to be taken. Hovering over the indicator in console with provide more detailed information. Note that it is possible to go from a Complete status to a Blocked status. This can happen when adding new owrkplaces or a bank account payment fails.

Needs attention
You have an important item to address. This will not prevent you from moving forward but it will need to be addressed. Ex: A state EIN is marked as “Applied For”.
Blocking
Indicates this is something critical you must address before being able to move forward. Ex: The federal ID number does not match the company name
Complete
All required items are addressed, and you may move forward.
