Employee Demographics

🚨 Be sure when pulling in columns, no categories are selected from “Employee Data Snapshot”

  1. On the Main Menu on the left, go to Data → Reports → New Report → Start from scratch
  1. On the left in the search bar, search for the following or use the drop down for appropriate sections. Select all of the following:
    1. Employee → Employee → Employee Personal Information
      1. Legal first name
      2. Legal middle name
      3. Legal last name
      4. Date of birth
      5. Home - Street address
      6. Home - City
      7. Home - State code
      8. Home - Zip
      9. SSN (full number, not the last 4 digits)
      10. Personal email
    2. Employee → Employee → Employment Status
      1. Employment status
      2. Last day of work
      3. Start date
    3. Employee → Employee → Employment information
      1. Work location name
      2. Work location - Street address
      3. Work location - City
      4. Work location - State code
      5. Work location - Zip
    4. Employee → Employee → Compensation
      1. Payment type
      2. Hourly Rate
      3. Annual Base Compensation
      4. Annual Salary Equivalent
    5. Payroll → Employee Paycheck Settings → Bank Account Details (may need to click “All objects” to back out of the Employee folder)
      1. Routing number
      2. Account number
      3. Account type
      4. Distribution Priority
      5. Distribution Amount
  1. Once all fields have been selected, remove any FILTERS such as Active Employees only, or adjust the filter to include all types.
    1. When migrating payroll demographics, you’ll retrieve Active, Inactive, and Terminated employees if they have been paid in the current calendar year.
  1. Save
  1. Report Name: Employee Demographics
  1. Download
    1. File Type: Excel

There are NO reports for Withholdings.

Withholdings can be completed in two ways when migrating from Rippling.

  • Onboarding Links (most efficient and timely)
  • Manual Entry (manually enter each employee or use import templates)

Deductions

  1. You can run the following report to identify who has deductions, but there is no report in Rippling that shows per-payroll deductions.
  1. On the Main Menu on the left, Data → Reports → New Report → Start from scratch
  1. On the left in the search bar, search for the following or use the drop down for appropriate sections. Select all of the following:
    1. Payroll → Employee Deduction Type
      1. Deduction Code
      2. Deduction Type
      3. Employee Deduction Amount
    2. The employee’s name will show on the report even if you do not select first/last name
  1. In the rightmost column is a file preview. Adjust the date to Current Date.
  1. Save
  1. Report Name: Employee Deductions
  1. Download
    1. File Type: Excel

Filter should default to Active.

For Employee Deductions we only want the deduction contributions for active employees. Ensure the filter has been adjusted accordingly.

 

Historical Payrolls

  1. On the Main Menu on the left, PayrollReports
  1. Click the Eye Icon on the Journal Report
    1. Entity: Select the Company
    2. Check Dates From and To: Select appropriate dates
      1. From will be the first day of the quarter, and To will be the last day of the quarter.
        1. Q1 (1/1 - 3/31)
        2. Q2 (4/1 - 6/30)
        3. Q3 (7/1 - 9/30)
        4. Q4 (10/1 - 12/31)
      2. Apply
      3. Next select Download
        1. File types: CSV
        2. Report Type: Employee
        3. Download the report now
        4. Download report
          1. The report will be separated by individual check dates, with a running total for the date range at the bottom.
    3. Repeat the steps for each necessary Quarter in current year.

You will need to run the Journal Report for each quarter separately.

Company Tax Information

  1. On the Main Menu on the left, Click Payroll → Filings → Tax Settings
    1. Federal Tax Information
      1. Take a screenshot of tax parameters
    2. State Tax Settings → Click on State
      1. Take a screenshot of tax parameters

      Screenshots allows you to record critical Tax IDs, Rates, and more since this is not available via a downloadable report.

Tax Returns

  1. On the Main Menu on the left, Click PayrollFilingsRecords
  1. Select Employer
  1. Download
      • If starting in Q1, pull the prior quarter's return (Q3 or Q4) to confirm tax information.
      • If starting mid-year, pull every closed quarters return in the current year.

Obtaining closed quarter(s) tax filings is required and will allow you to tie out each quarter to ensure balancing with the transfer of historical data.

Tax documents serve dual purpose for setup:

  • Allows you to tie out closed quarters in the current year when importing the historical data.
  • Provides required information to complete the Tax Parameters.
