SurePayroll: Extract and Required Data Guide

Guide users to extract, format, and import payroll data for successful SurePayroll setup.

  1. Basic Info:
    1. First Name β†’ Payroll
    2. Last Name β†’ Setup
    3. Email β†’ setup@checkhq.com
    4. Phone β†’ 856-830-6462 (if required)
      1. 🚨

        If not going through Checks embedded setup process DO NOT use the setup@checkhq.com email or phone number. Use an email that you have access to.

Employee Demographics

  1. On the top menu, press Reports β†’ Employee Details
  1. Update the report to include ALL Employees
  1. Run as XLS

Direct Deposit

SurePayroll does NOT have a report or allow us to see full direct deposit information.

Bank Accounts can be added in two ways when migrating:

  • Onboarding Links (most efficient and timely)
  • Manual Entry (manually enter each employee or use import templates)

Deductions

  1. On the top menu, press Reports β†’ Payroll Reports β†’ Payroll Summary
  1. Update to the most recent pay date (you may need multiple pay dates to get all employees)
  1. Update Report β†’ Export to XLS

Historical Payrolls

Closed Quarter

  1. On the top menu, press Reports β†’ Payroll Reports β†’ Quarter-to-Date
  1. Run report for each closed quarter
    1. Q1 (1/1 - 3/31)
    2. Q2 (4/1 - 6/30)
    3. Q3 (7/1 - 9/30)
  1. Update report β†’ Export as XLS

Open Quarter

  1. On the top menu, press Reports β†’ Payroll Reports β†’ Payroll Summary
  1. Update report β†’ Export as XLS
  1. Run for each individual check date in the open quarter

Tax Returns

  1. On the top menu, press Reports β†’ Quarterly & Annual Reports β†’ 940, 941, Wage Detail
  1. Update Year
  1. View Reports to Download

Obtaining closed quarter(s) tax filings is required for embedded setup and will allow you to reconcile each quarter’s pay history reports to ensure balanced data with the transfer of historical data. Also, assisting in completing the required information for Tax Parameters.
