Toast: Extract and Required Data Guide

Guide users to access Toast, extract data, and format files for successful setup.

This guide walks you through how to access Toast, extract the required data, and format files so you can complete your setup successfully.

Access Walkthrough

  1. Navigate to Team and click “Add team member” in the top right corner.
  1. Basic Info tab:
    1. First Name → Payroll
    2. Last Name → Setup
    3. Email → setup@checkhq.com
      1. 🚨

        If not going through Checks embedded setup process DO NOT use the setup@checkhq.com email. Use an email that you have access to.

    4. Social Security number = No, it will be entered later
    5. Any information can be entered for other fields or left blank as they are not required fields.
  1. Jobs & pay tab:
    1. Payroll security role → HR+
    2. Any information can be entered for other fields. These will not matter.
  1. Benefits tab
    1. Any information can be entered.
  1. Documents tab
    1. Leave all onboarding documents unchecked.
  1. Review tab
    1. Select Add to team
  1. Return to Team page.
  1. Navigate to Team -> Onboarding
    1. The Payroll Setup user will most likely be on top of the New Hire Dashboard. Select their yellow pencil icon on the right.
    2. In the pop-up, select Mark this new hire as complete 
    3. Select Confirm
    4. Select Complete on the next pop-up.
  1. Use the Search employees bar to locate the profile for the Payroll Setup user, and select Profile Settings in the lower-left corner.
  1. Change the Employment status to Demo Employee and select Save Changes.
  1. Navigate to the Profile tab and select the User Account section on the left sidebar.
    1. Select Resend.
  1. Locate the invite email sent to your desired email address.
  1. Save the Company code provided in the invite as you will need this each time you login.

Workplace information can be found under Company Summary

  1. On the left bar menu, press Reports
  1. Select Custom Reports
  1. Press Add+ at the top right
    1. Name the report: Employee demographics
    2. Select EE attribute from Template dropdown
    3. Save
    4. For demographics, add the following: (pressing the ➕ next to each of the below)
      1. First Name
      2. Middle Name
      3. Last Name
      4. Address Line 1
      5. Address Line 2
      6. City
      7. State
      8. Zip
      9. SSN
      10. Date of Birth
      11. Original Hire Date
      12. Termination dates
      13. Employment Status
      14. Primary Email
      15. Pay Type
      16. Salary Type
      17. Hourly Rate
      18. Annual Salary
      19. Payroll Salary
      20. Level 2 - Location (if more than one workplace)
      21. Level 1- Company (If more than one FEIN under same login)
      22. Workers Comp Code (optional)
      23. EEO Classification (optional)
      24. Employment Type (optional)
    5. Press Queue and download report from Report Courier once it’s available for download

Direct Deposit

Toast does NOT have a report or allow us to see full direct deposit information.

Bank Accounts can be added in two ways when migrating:

  • Onboarding Links (most efficient and timely)
  • Manual Entry (manually enter each employee or use import templates)

Withholdings

  1. On the left bar menu, press Reports
  1. Press Standard tab
  1. Search for W4 in search bar
  1. Press Arrow on the far right of Employee W4 Audit report
  1. Click Run Report
  1. Report will download as a Web Page or .html. Open file > save as CSV
 

Deductions

  1. On the left bar menu, press Reports
  1. Select the Custom tab
  1. Press Add➕ at the top right
  1. Name the report: Employee Deductions
  1. Select Employee Deductions from Template dropdown
  1. Press Save
  1. For deductions, add the following: (pressing the ➕ next to each of the below)
    1. First Name
    2. Last Name
    3. Deduction Name
    4. Deduction Amount
    5. Deduction Percent
    6. Start
    7. End
    8. Adjusted Limit
    9. Calendar Year
    10. Level 2 - Location (use this if there is more than one workplace)
    11. Level 1- Company (If more than one FEIN under same login)
  1. Press Queue and download report from Report Courier once it’s available for download

Historical Payrolls

Closed Quarter

  1. On the left bar menu, press Reports Standard
  1. Select the Per Pay Period Employee Payroll Audit Report
    1. Click the arrow to the right of the report name
  1. Use the FEIN drop down to ensure you’re pulling the report for the correct entity
  1. Highlight all check dates for the given quarter
    1. Q1 (1/1 - 3/31)
    2. Q2 (4/1 - 6/30)
    3. Q3 (7/1 - 9/30)
    4. Q4 (10/1 - 12/30)
  1. Check the boxes:
    1. Include Taxes
    2. Include Earnings
    3. Include Deductions
  1. Group Data by: Group By Employee
  1. Run Report
  1. Report will download as a Web Page or .html. Open file > save as CSV

Open Quarter

  1. Repeat Steps 1-5 under Closed Quarter
  1. Group Data by: Group By Pay Period
  1. Run Report
  1. Report will download as a Web Page or .html. Open file > save as CSV

Company Tax Information

  1. On the left bar menu, press Taxes
  1. Select Tax Resources (top right)
  1. Edit State Tax Accounts
  1. Take Screenshot of entire page.

Screenshots allows you to record critical Tax IDs, Rates, and more since this is not available via a downloadable report.

Tax Returns

  1. On the left bar menu, press Taxes
  1. Select Tax Documents (top right)
  1. Download the tax package for each closed quarter(s) in the current year.
      • If starting in Q1, pull the prior quarter's return (Q3 or Q4) to confirm tax information.
      • If starting mid-year, pull every closed quarters return in the current year.
🚨

Obtaining closed quarter(s) tax filings is required and will allow you to tie out each quarter to ensure balancing with the transfer of historical data.

Tax documents serve dual purpose for setup:

  • Allows you to tie out closed quarters in the current year when importing the historical data.
  • Provides required information to complete the Tax Parameters.
