How to manage Company Groups in Console

This article outlines how to use Company Groups in Console to limit and control access to specific companies. By organizing companies into groups, you can ensure each team member only views and supports the companies relevant to their role.

What is a Company Group?

A Company Group is a collection of companies that can be assigned to specific users to control which companies appear in their Console view. This allows you to restrict access based on team structure, geography, or function.

Unlike roles (which define permissions), Company Groups determine which companies a user can see.

Example

Let’s say you support four companies: A, B, C, and D. You have two support teams: East and West.

  • Create an East Region Group for companies A and B
  • Create a West Region Group for companies C and D
  • Assign the appropriate group to each team

Users in the East group will only see companies A and B in Console, and West team members will only see C and D.

How to create a group in Console

  1. In Console, go to Settings in the left-hand menu
  1. Select Groups
  1. Click + Add Group
  1. Name the group (e.g., “East Support” or “Engineering”)
  1. Select the companies to include in the group
  1. Click Save Group

The new group will appear on the Groups page.

How to assign a group to a user

  1. Navigate to the Users tab in Console (next to Groups)
  1. Select an existing user or click Add User
  1. Click Edit
  1. In the pop-out, scroll to the Groups section
  1. Check the group(s) you want to assign
  1. Click Save Changes

The group name will now display under the user on the Users page.

How to remove a group from a user

If a user no longer needs access to certain companies:

  1. Go to the Users tab
  1. Click on the user’s name
  1. Click Edit
  1. Uncheck the group to remove
  1. Click Save Changes

The group will be removed from the user’s profile.

Restricting company access entirely

You can also use groups to restrict users from seeing any companies in Console. For example, you may create a Sales group that includes no companies. This allows users to:

  • Access and demo Console
  • View the Help Center
  • Avoid exposure to sensitive or live company data

This is useful for team members who don’t require access to real customer data.
